1. If you run a workspace on Dialogis
You can remove most data yourself in the admin platform at admin.dialogislabs.com:
- Delete a conversation: open the conversation in your Mind's inbox and choose Delete. The messages, voice notes, transcripts, booking records and consent records of that conversation are removed.
- Delete a Knowledge Source: open the Mind, go to Knowledge, and remove the document, page or recording. Its text, summaries and search embeddings go with it.
- Disconnect a channel (Instagram, WhatsApp, Telegram) or an integration (CRM, calendar): open the Mind, find the card for the channel or integration and choose Disconnect. Message processing stops immediately and the stored access credentials are deleted.
- Delete a Mind: removes the Mind, its uploaded knowledge, its hosted page and all of its conversations, together with their leads, bookings, transcripts and consent records.
- Close your workspace and delete your account: in the admin platform open Settings, go to Your account and choose Delete account and all data; you confirm by typing the name of your workspace. Your Minds stop answering immediately and a paid subscription does not renew. For 30 days you can still sign in, download your data with Export my data (one ZIP with your Mind configuration and conversations in JSON, your leads in CSV and download links for your original knowledge files) or change your mind with Keep my workspace. After the 30 days we permanently erase all Minds, conversations, Knowledge Sources, Voice Clones, channel connections and every sign-in account of the workspace. Deleted data disappears from backups within a further 14 days. Billing records that tax law requires us to keep stay with us and with the merchant of record for the statutory period. If you cannot sign in, or want the deletion sooner than 30 days, email hello@dialogislabs.com with the subject "Delete my account" from the address you registered with.
2. If you built a trial Mind without an account
A trial Mind that is not saved into a workspace deletes itself, together with its page, your material and your questions, when it expires (currently 7 days after it was built). To have it deleted sooner, send the address of its page to hello@dialogislabs.com from the device you built it on, or simply let it expire. Until a trial Mind is saved into a workspace, Dialogis is the controller of the conversations held on its public page; they are deleted with the trial, or sooner on request to the same address. If you saved the trial Mind into a workspace, Section 1 applies.
3. If you talked to a Mind
If you sent messages to someone's Mind — on Instagram, WhatsApp, Telegram, in a website chat, on a hosted page or in a voice call — and want that conversation deleted:
- Ask the Operator (the expert or business whose Mind you talked to). They are the controller of the conversation and can delete it themselves in the admin platform. Their name appears in the chat, on the page or profile that hosts it, or on their website. If the Mind was built with the free trial and has not been saved into a workspace, there is no Operator to ask: we are the controller and delete the conversation ourselves, so go straight to step 2.
- Or contact us at hello@dialogislabs.com with the subject "Privacy". Tell us which Mind you talked to, on which channel, and the account you wrote from (for example your Instagram username, WhatsApp phone number or Telegram username), so that we can find the conversation. We forward your request to the Operator, tell you that we have done so, and act on the Operator's instruction. If the Operator cannot be reached within 30 days, we delete the conversation ourselves, as the Terms of Use allow.
Deleting a message inside the Instagram, WhatsApp or Telegram app does not remove the copy that was already delivered to the Mind; use one of the steps above for that. A meeting booked through a Mind is cancelled through the confirmation email from the calendar service or by asking the Operator.
4. What we delete, and how fast
Deletion covers your messages, voice notes and voice-call transcripts, their transcripts, attachments, contact details and booking details you gave, the consent records of the conversation, and the channel identifiers used to route it (such as an Instagram account ID or a phone number). When a channel is disconnected, its stored access credentials are deleted as well. We complete deletion requests within 30 days and confirm by reply; copies in backups expire within a further 14 days. Our providers are instructed to delete what they hold for us; our voice provider deletes voice-call audio within 30 days of the call in any case.
Limited records may be retained where the law requires it (for example billing records) or where we need them to establish, exercise or defend legal claims; they are isolated and used for nothing else. Aggregated statistics that identify nobody are kept.
